Decision Rooms helps groups make decisions together. This page explains, in plain words, what we collect during the trial, why, who processes it, and what you can ask us to do with it.
What we collect
- Your name and email. You give these when you open or join a room. We don't verify the email during the trial.
- Room content. The question, options, context, criteria and any files the owner adds, including the text we read from those files.
- Your answers. Your ratings, risk appetite, gut pick, concern, sign-off and, if you are an approver, any objection.
- Technical data. Your browser keeps a sign-in session so you can return to your rooms. Our server sees your IP address to limit abuse; it is held in memory only, not stored.
How we use it
- To run your rooms and produce the analysis and recommended call.
- To contact you about your rooms and ask for feedback during the trial.
- We don't sell your data, use it for advertising, or use it to train AI models.
Who sees what inside a room
- Your answers are private. Only you can read them. This is enforced in the database, not just in the app. The group sees the combined result and patterns (for example "two members weigh cash risk far higher"), never who said what.
- Members see each other's names and who has answered (a tick, not the content).
- In rooms that use RAPID roles, everyone sees each person's role and any objection, with the approver's name, because who must agree is public in that model.
- The owner sees the invite link and decides the call. Any override is recorded with its reason.
Who processes your data for us
- OpenAI analyses room content and answers to produce the recommendation, and searches the web for public facts. Under OpenAI's API terms, this data is not used to train its models by default, and may be kept for up to 30 days to detect abuse.
- Supabase stores rooms, answers and files, and runs sign-in. Data is encrypted at rest.
- Our hosting provider runs the website and the server that calls these services. Connections use HTTPS.
How long we keep it
We keep trial data for the length of the trial. You can ask us to delete your account, your answers or a room you own at any time, and we will do it within 30 days.
Your choices
You can ask to see, correct or delete the data we hold about you, or to stop receiving trial emails. During the trial, send your request through the person who invited you to the room. A direct contact address will be added here soon.
Changes
We will update this page as the product grows, and change the date at the top when we do.
